1. About Us

Sortful Ltd is a UK-based service business providing automation, communication, and reputation systems for businesses.

Throughout these Terms:

  • “we”, “us”, “our” refer to Sortful Ltd

  • “you”, “your”, “Client” refer to the business using our services


2. Services

We provide done-for-you systems designed to support how businesses communicate with their customers.

This may include:

  • Review request systems (e.g. Google, Facebook, Airbnb and similar platforms)

  • Automated messaging (SMS, email or other channels)

  • Follow-ups and reminders

  • AI-assisted responses or communication tools

  • Other related automation or communication services

Services may evolve over time and may include additional features or tools.

We set up and manage these systems on your behalf, but you remain responsible for how your business operates and communicates with customers.


3. Free Trial

We may offer a free trial period from time to time.

  • The length of any trial will be communicated at the point of sign-up

  • No subscription fees are charged during the trial unless stated otherwise

  • By signing up, you agree that billing will begin automatically at the end of the trial period unless you cancel before it ends

We may send reminders before the trial ends, but this is not guaranteed. It remains your responsibility to track the trial period and cancel if required.


4. Pricing and Billing

By signing up to a plan, you agree to the pricing presented at the time of purchase.

  • Subscription fees will begin automatically after any trial period ends

  • Billing is recurring on a monthly basis unless otherwise agreed

  • Pricing and plan details will be clearly communicated before sign-up

Some plans may include usage (such as messages, calls, emails, or AI usage) within the monthly fee.

Other plans may charge for usage separately in addition to the subscription.

Where usage is not included, you agree that these additional charges may be billed based on your usage.

We may also charge one-off fees for services such as system setup, onboarding, or database reactivation.

  • These fees will be clearly communicated in advance

  • These fees are separate from any ongoing subscription charges

  • Once agreed and work has begun, these fees are non-refundable

Where a trial period is offered, any setup or database work carried out during that time is considered part of the agreed service and will not be refunded if you choose not to continue after the trial.

By signing up, you agree that the payment method provided will be stored and used for:

  • Ongoing subscription fees

  • Any applicable usage charges

  • Any agreed additional services

You are responsible for ensuring your payment details remain valid and up to date.

If your payment method expires, fails, or is declined:

  • We may attempt to contact you to resolve the issue

  • We reserve the right to pause or restrict services until valid payment details are provided

  • Continued failure to update payment details may result in cancellation of the service

Pausing or restricting the service due to payment issues does not cancel your agreement with us.

  • Any applicable notice period still applies

  • Charges during the notice period remain payable


5. Usage Limits

Plans may include usage “up to” a certain level (e.g. number of messages or requests).

  • These are system limits, not guarantees of results

  • Unused allowances do not roll over

  • Actual results will vary depending on your customers and business


6. No Guarantee of Results

We do not guarantee:

  • A specific number of reviews

  • Positive reviews or ratings

  • Increased leads, revenue, or business outcomes

Our role is to provide systems and support. Outcomes depend on factors outside our control.


7. Client Responsibilities

You agree to:

  • Provide accurate and up-to-date information

  • Ensure you have the right to contact your customers

  • Obtain any required consent for messages (SMS, email, etc.)

  • Use the service in a lawful and responsible way

Where AI-assisted responses or automated messaging are used:

  • You remain responsible for reviewing and overseeing these responses

  • You should regularly check that outputs align with your brand and standards

  • You must notify us if general changes or adjustments are required (for example tone, style, or messaging approach)

We do not provide individual editing or management of specific responses unless separately agreed.

You are also responsible for:

  • Managing customer relationships

  • Responding to reviews, including negative feedback

  • Taking appropriate action to resolve customer issues


8. Acceptable Use

You must not use our services to:

  • Send unsolicited or unlawful messages

  • Mislead customers or provide false information

  • Attempt to manipulate or fake reviews

  • Misuse or abuse the system

You are responsible for ensuring your use complies with platform rules (e.g. Google or other review platforms).

We may suspend or stop services if misuse is identified.


9. Cancellation

You may cancel your subscription at any time by providing notice.

  • A minimum of 30 days’ notice is required

  • Billing will continue during the notice period

Your service will end at the conclusion of that period unless you request that it stops sooner.

If you request an earlier stop, services will be paused or removed as soon as reasonably possible, but charges will still apply for the full notice period.

No long-term contracts are required.


10. Changes to Services

We may update, improve, or change our services over time.

This may include adding, removing, or modifying features.

We will aim to keep changes reasonable and in line with the purpose of the service.


11. Liability

We aim to provide a reliable and professional service. However:

  • We are not responsible for outcomes outside our control

  • We are not liable for loss of profits, loss of revenue, loss of business, or perceived loss of earnings

  • We are not liable for indirect or consequential losses

Where liability is found, our total liability will be limited to the amount paid by you for the service in the previous three months.

Nothing in these Terms limits or excludes liability where it would be unlawful to do so under UK law.


12. Third-Party Services

Our services rely on third-party platforms and providers (for example CRM systems, messaging providers, and integrations).

  • We do not control these systems

  • We are not responsible for outages, errors, delays, or failures caused by them

  • This includes issues relating to message delivery, system downtime, or integration failures

Your use of the service is dependent on the availability and performance of these third-party providers.


13. Data and Privacy

We handle data in line with our Privacy Policy.

  • You remain responsible for your customer data

  • We act as a service provider processing data on your behalf where applicable

  • You must ensure lawful data collection and use


14. Changes to These Terms

We may update these Terms from time to time.

The latest version will always be available on our website.


15. Governing Law

These Terms are governed by the laws of England and Wales.

Any disputes will be handled in the courts of England and Wales.
